Boxcar Social has a fully equipped kitchen available to our preferred caterer - Kuyas. Kuyas provides exceptional quality, delicious food to your wedding.

Please note a there is a landmark fee of 20% for preferred caterers, while third party caterers are charged a landmark fee of 30% on all items.

Self-catering (i.e. homemade food) is not permitted

Boxcar Social Harbourfront is a fully licensed facility. We offer a selection of alcoholic and non-alcoholic product that can be billed on consumption to the host or a cash bar, a combination thereof or you can purchase bar packages .

We feature craft brewers on twenty-one tap lines, largely featuring local brewers.

For wine, our program focuses on predominately biodynamic and natural wines. We can tailor wine-lists to your price and party needs.

• ADMINISTRATION FEE - This is set to three percent of all costs associated with the event.

• BEVERAGE - In accordance with the Liquor Licence Act, all alcoholic beverages are to be consumed in the licensed areas (indoor restaurant and patio) and must be purchased by Boxcar Social. Alcohol service may be denied to those individuals who appear intoxicated or under the legal drinking age.

• CATERING COSTS - Caterer’s may charge additional fees to Boxcar as part of their overall invoice. This may include administration charges, credit card processing fee, operations charges, service charges and more. These will be billed to the client.

• CONTRACT - A contract must be signed in order to secure the venue as given by the Events Manager.

• DECORATIONS AND MERCHANDISE - Decorations or displays that are brought in to the venue from an outside source must have approval from your events manager.

  Please note that nothing can leave a residue or damage the property. All decorations and client items must be removed at the end of your event from the dining room and hidden from a guest’s perspective.

  We cannot be responsible for the damage or loss of any merchandise or articles brought into the hotel or for any items that are left unattended or left behind. Please take into consideration the environment when decorating. Glitter and balloons are an environmental hazard.

  All patio decorations must have enough weight so that they may not blow into the lake. Patio tents must have four hundred pound concrete canopy weights at each leg.

• DEPOSIT POLICY - Deposit is twenty-five percent of the quote/minimum expenditure, whichever is higher. Deposits are non-refundable and are retained by Boxcar Social as an administration fee. Full minimum expenditure is to be paid if the event is cancelled within fourteen days of the event by the client.

• GRATUITY - Gratuity is set at twenty percent pre-tax on all items.

• INSURANCE - Special Events Liability Insurance is recommend for any event, especially with live entertainment.

• KEY DATES - Final food and beverage selections are due and locked in two weeks prior to the event date. Final guest count and floor plan are due two weeks prior. Confirmed consumables are to be paid seven days in advance.

• LANDMARK FEE - Caterers will charge a landmark fee to cook in the venue to cover costs of utilities, garbage, maintenance, foodstuffs, chemicals and the like . Our exclusive caterer charges a twenty percent percent fee and external vendors will be charged a thirty percent landmark fee.

• LOAD IN AND LOAD OUT - Access to the venue for loading in and out is provided through the security gates of the Harbourfront Centre. Timing is flexible and organized when details are being worked out. All deliveries must hand in the name, number, license plate, make, model, year and colour of vehicle forty-eight hours ahead of delivery.

• MINIMUM EXPENDITURE - If the minimum expenditure is not met, the difference will appear as Minimum Surcharge on the final bill.

• PAYMENT DETAILS - Consumed items, plus audio/visual and other extraneous costs are to be paid at the end of the event. Gratuities, taxes and administration fee will be added to this cost. Boxcar Social will pay the preferred vendors and add it to your final bill.

• SECURITY - Event security may be required and will be paid for by the host. We can procure security as needed. This will be visited on a case-by-case basis.

• SIGNAGE / FILMING AND MEDIA - The events manager must approve signage, filming and media as the Harbourfront Centre has in-house polices.
